MD Anderson Cancer Center Sr Administrative Assistant -Pharmacy Admin Support in Houston, Texas

Administrative Duties

Provide, coordinate, and organize administrative support for Manager, ATC Pharmacy and Manager, Clinic Pharmacy, as well as 9 Assist Managers in ATC & Clinic Pharmacy throughout the Institution in the Division of Pharmacy. Duties include but are not limited to:

Maintain & prioritize daily appointment calendars, meetings, lectures and seminars for 2 managers, 9 assistant managers and staff.

Assist with planning departmental and area-specific meetings for managers and assistant managers, and prepare all documents associated with meetings. Coordinates room logistics for managers and assistant managers.

Serve as Notary for Department and notarize forms for employees. Process affidavits for Pharmacy Records request for Agencies and Law Offices. Complete Tax Summary Requests for Pharmacy customers, Agencies and Law Offices.

Perform new employee orientation for assigned departments: issue lockers and keys, create profiles for new employees in Lotus Notes, and review departmental attendance policy, time keeping policy, payroll policy.

Create and maintain personnel files for assigned departments.

Receive, screen and transfer calls using appropriate telephone etiquette; responds to telephone information requests with courtesy, accuracy and respect for confidentiality. Determines urgency of calls and alerts the appropriate staff, immediately, of emergencies or potential problem situations.

Collect signed authorization from patient or parent/legal guardian for release of information. Provide printed copy of released information to patient or parent/legal guardian.

Perform mail runs and distribution for assigned departments.

Kronos/Concur/Resource One

KRONOS:

Prepares Kronos time and attendance for assigned staff as well as employee time and attendance tracking reports and FMLA tracking. Serve as a Reviewer for assigned Divisional timekeeping codes.

CONCUR:

Prepare and submit staff expense reimbursement requests for licensure.

Arrange travel for staff to include all pre-travel arrangements as well as preparing and processing expense reports upon return.

RESOURCE ONE:

Coordinates purchasing activities for assigned departments including office supplies, business cards, etc. and assist Pharmacy Finance with printing documentation for reconciliation purposes. Responsible for equipment relocation activity to MD Anderson Warehouse.

Submit 4-Info requests for Computer issues. Schedule maintenance, repairs, and ordering of supplies for fax machines copiers.

Facilities/Maintenance & Other Support

Coordinates and schedules facilities and maintenance requests and support for areas.

OTHER:

Maintain and order the supplies for water and office coffee monthly orders. Process Catering requests for meetings. Serves as a member of the Pharmacy Kronos Improvement Committee.

Serves as a member of the administrative support team for the Division of Pharmacy. In collaboration with assigned area and/or operations manager, participates as member of project teams on new divisional initiatives. Participates as a member of project teams for Division of Pharmacy events: National Pharmacy Week, Employee Recognition Month, Division Town Hall Sessions, Annual Holiday Luncheon, and Chili Cook-Off.

Education Required:

High school diploma or equivalent.

Experience Required:

Five years of administrative/secretarial experience. With preferred degree, one year of required experience. Must pass pre-employment skills test as required and administered by Human Resources.
