ESSENTIAL JOB FUNCTIONS
Directs strategic and business planning with regard to academic operations, patient care services and expansion of operations. Considers, develops and implements relationships with external organizations of benefit to M.D. Anderson with regard to clinical and research activities. Participates in institutional committees and acts as a liaison with appropriate departments. Directs or perform analysis, program evaluation and external reporting. Supports and organizes program review efforts.
Establishes and revises programs, policies and procedures. Ensures compliance with institutional standards. Organizes and participates as a member of Clinical Cancer Genetics Program Steering Committee. Serves as a primary contact for all institutional departments, which provide service to or receive services from the program. Leads Process Improvement team made up of clinical and support staff to evaluate areas of improvement in clinical and administrative processes. Coordinates with the Regional Care Centers and sister institutions to expand CCG program activities and research initiatives to other locations.
Human Resources Management
Works collaboratively with Medical Directors to design and implement the administrative organizational structure for the section. Responsible for all the human resource related activities of the program including, wage and salary administration, position description development, new staff recruitment, orientation and training, and employee relations management. Develops staffing plans and productivity measures to ensure the effective use of human resources. Ensures the existence of on-going training and development programs for classified staff in order to develop new competencies and to retain valued staff. Manages all disciplinary actions for clinical support staff in accordance to program and institutional policies.Recognizes and rewards the accomplishments of the program employees. Coordinates incentive and reward programs for the classified staff by the institution.
Works jointly with the Medical Directors for the development and on-going monitoring of the annual departmental budget. Ensures the fiscal integrity of the program including monthly account reporting, maintenance of the program’s chart of accounts and monthly account reconciliation. Oversee all program’s institutional and philanthropic accounts, monitor expenses, oversee reconciliation and reporting. Oversees all program grant accounts and ensures timely reconciliation and reporting to granting agency. Approves all program purchases and ensures that program funds are used in accordance to institutional, donor and granting agency guidelines. Assembles and submits the program’s annual budget request in coordination with the EVP Physician-in-chief’s office.
Responsible for providing direction to the IT personnel for running Progeny Software and integration with Epic Electronic Health Records for clinical services. Works collaboratively with the CCG Steering Committee to develop annual IT strategic and tactical plans in support of both Clinical and Research initiatives.
Works with Clinical Care Centers to develop coordinated care delivery processes, including scheduling, billing and insurance compliance requirements as per institutional guidelines. Responsible for the provision of training, scheduling and performance evaluations for all the program employees and for submitting the evaluations as per institutional guidelines. Works directly with HR compensation to determine scoring and merit increases. Administers the professional development model for the genetic counselors including annual authorization, preparation of evaluation documents, review of submissions, and communication of results.
Marketing and Development
Develops, plans, and manages Educational Events and Conferences for patients, providers, and community advocacy groups. Arranges for logistical support as needed through Conference Services and outside vendors. Designs and produces all promotional and educational items related to the program including advertising and marketing for conferences, events, program achievements, annual reports and clinic brochures. Manages the production of promotional material through inside and outside vendors. Prepares display items for special events and coordinates presentations. Manages the program inside and outside websites as well as social media portals. Cultivates philanthropic support by working collaboratively with the Development Office including coordination of fundraising campaign, completion of support documents, financial justification and allotment, and prospective donor interaction as necessary. Serves as Director of the program’s patient advocacy board, Friends of Clinical Cancer Genetics. Plans and organizes regular meetings, coordinates PAB-related activities, and communicates regularly with members.
Manages the program’s research activities including oversight of research data requests through the program’s Progeny database and integration with EPIC Electronic Health Records. Facilities the organization of research meetings between program faculty and clinical support staff. Works with Medical Directors on all program grant proposals and submissions to ensure fit with program resources and objectives. Oversees institutional research initiatives (Moonshots flagship projects), develops staffing plans, oversees recruitment, training and supervision of clinical research staff, oversee IT infrastructure development for the research initiatives, monitor collaborations with other institutional resources (IPCT, IACS, MDL) to advance the objectives. Authors grant proposals, assemble budgets, and submit grant proposals as needed. Manages post-award grant projects including program, financial and reporting functions.
Minimum: $86,000 – Midpoint: $107,500 – Maximum: $129,000
Required: Master’s degree in Science, Health or related field.
Required: Five years of experience in medical and/or research program development and management.
