MD Anderson Cancer Center IP Legal Assistant in Houston, Texas
The Legal Assistant – Intellectual Property at MD Anderson Cancer Center reports to the Senior Legal Officer – IP, and is responsible for providing administrative and paralegal support for the Legal Officers of the IP Team.
The Legal Assistant visually reviews files, gathers data and organizes material for response. Prepares drafts of documents and drafts memos and correspondence utilizing word processing software. Completes drafts and revisions according to agreed-upon schedules. Accurately proofreads documents. Prepares documents for signature and circulates original contracts and agreements in final to necessary signatories both within MD Anderson and outside the institution. Coordinates distribution of materials and archiving of files on closure. Answers telephone calls and takes clear and accurate telephone messages.
The ideal candidate will have a Bachelor's degree and experience working in a legal environment specializing in intellectual property law.
Organizes and maintains all contract files and subject files and assists as necessary.
Obtains original or copies of records and other documentation from institutional departments and employees, outside agencies, and Legal Officers and outside attorneys.
Physically organizes and sends records, files and documents to the Office of General Counsel, the Office of the Attorney General and other state agencies, and Legal Officers and other external parties (i.e., tab/organize materials, verify that correct and complete information was sent/received in timely fashion).
Communicates promptly and effectively with institutional clients, Legal Officers and outside attorneys and other individuals who request conferences, contract drafting/review/negotiation, or other assistance in intellectual property related matters.
Actively participates in staff meetings, providing feedback on problems and proposing resolutions. As appropriate, physically attends meetings with institutional employees outside of the Legal Services Department, assists in preparation for these activities and takes complete and accurate notes for follow-up activities.
Organizes and maintains tickler files for contract review/renewal, long-term projects, and routine follow-up with institutional clients.
Coordinates for Legal Officers all aspects of meetings, conferences and travel arrangements according to department and fiscal guidelines.
Maintains calendars of Legal Officers/Senior Legal Officers of the IP Team as assigned.
Processes incoming and outgoing mail and correspondence, determines priority, re-routes and/or responds as appropriate.
Implements and improves upon administrative processes for more efficient workflow.
Working with the Legal Services Department Administrator, assists Legal Officers/Senior Legal Officers, or supervises legal secretaries, in the approval and payment of outside legal counsel bills covering intellectual property matters as follows:
Reviews and reconciles incoming legal bills.
Routes appropriate invoices to cost centers for payment.
Coordinates reconciliation of check requests and purchase orders with outside counsel.
Required: Associate's degree in Legal Administration, Business Administration or related field.
Preferred: Bachelor's degree.
Preferred: Certified Legal Assistant.
Required: Four years of experience in a private, government or law office environment. May substitute required education degree with additional years of equivalent experience on a one to one basis.
Preferred: Experience in a law office environment specializing in intellectual property law.
