MD Anderson Cancer Center Grant Program Manager Invest. Cancer Therapeutics in Houston, Texas

The primary purpose of the Grant Program Manager position is to provide administrative oversight of the grant process for large-scale grants and/or multiple-site grant activities for a department. This position impacts the capability of the department or program to reach its scientific and administrative goals.

1. Administrative planning and oversight for large grant initiatives in the department.

  • Identify and implement strategies to enhance investigator collaboration and interchange between the basic and clinical scientists.

  • Plan and coordinate the internal and external review board activity and ensurethat reporting objectives are met.

  • Coordinate compliance with all general, governmental, and NCI regulations andrequirements.

  • Coordinate arrangements for special seminars and programs.

  • Coordinate the implementation of a system of internal controls.

  • Coordinate the implementation of policies and procedures that ensure effective operations for grant application submissions, reviews, activation, annual reports, etc., within internal and external requirements.

  • Serve as a resource to others who participate in the grant process.

    2. Preparation of competing and non-competing applications and the submission of grant-related reports to funding agencies, such as NIH, for grants.

* Conduct regular searches of funding resource databases and assist with the identification of funding opportunities that promote internal and external grant participation for departmental faculty.

  • Maintain familiarity with NIH forms and requirements. Serve as an expert resource for faculty and staff in regard to all application and reporting related issues. Provide ongoing information concerning changes in federal policy,institutional and divisional initiatives, etc., to relevant department staff and grant investigators.

  • Provide advice and resource information for long-term strategic planning of research initiatives, including options, directions, funding sources, and feasibility.

  • Oversight of the grants team personnel activities as a resource for faculty to identify opportunities for new research initiatives, including those that involve collaborations within M. D. Anderson and extra murally.

  • Monitor the NIH and other government websites for new RFAs.

3. Planning and coordination of day-to-day grant operations:

  • Serve as a primary contact for Office of Sponsored Programs and Grants and Contracts Accounting concerning policy changes and the resolution of active grant related issues.

  • Assist the Associate Director, Research Planning and Development with coordination of monthly meetings to discuss grant progress and over all goals.

  • Maintain up-to-date information in the grants tracking spreadsheet located on the departmental shared drive.

  • Coordinate all grant-related meeting presentations and handouts. The appearance of project and core presentations should be based on a common template, so that the final product is a reflection of the close interaction among the investigators and other grant personnel.

  • Provide oversight of the tracking, reporting, and evaluations (internal and external) of research activities.

  • Manage the post-award funds and fund allocation across multiple grant projects/components and report appropriately.

  • Research and propose solutions to grant-related problems.

  • Prepare annual reports, as required, for grant/foundation funds.

  • Compose grant-related correspondence as necessary and route appropriately.

  • Present and/or assist in the preparation of presentations related to ICT grants or related topics.

  • Act as an information resource to investigators and staff.

  • Oversee research related compliance activities.

  • Direct preparation of final Progress Reports and manage the overall grant close-out process.

  • Manage the preparation and reconciliation of grants

  • Oversee the appropriate salary allocations on all funded grants.

  • Ensure that funds from federal grants are expended appropriately and timely.

  • Manage the submission of accurate and timely reports for federal grants to assure budget continuation.

  • Generate monthly status reports for the Chair

  • Oversee the maintenance of the department database that provides up-to-date financial information about all department grant funding.

  • Provide assistance to faculty regarding expenditure of funds available to them through counseling and/or dissemination of information and guidelines of the various sponsoring agencies.

  • Review effort cards for accuracy, search for funding opportunities and write grant applications for the fellowship program.

  • Work closely with investigators, Research Nurse Supervisor/Manager, and Department Administrator to insure adequate research nursing and data management support for the clinical trial(s).

  • Coordinate grant activities with project and core principal investigators, and report status to the department Chair; Associate Director, Research Planning and Development;and Department Administrator.

  • Research and propose solutions to grant-related problems.

  • Compose grant-related correspondence as necessary and route appropriately.

  • Coordinate the maintenance of up-to-date percents of effort for principal and co-investigators.

  • Notify the NCI Grants Specialist and MD Anderson Grants and Contracts Accounting of changes to percent of effort for investigators and changes of Principal Investigators and Core Leaders.

  • Maintain detailed, up-to-date files.

  • Act as an information resource to investigators and staff.

  • Identify internal and external granting opportunities and coordinate departmental response, as needed.

  • Monitor private funding opportunities and inform faculty and clinical research trainees of relevant programs.

  • Assist with developing strategies for securing funding and the application process for that funding. Provide administrative oversight and assistance in the development and evaluation of large, programmatic grants; participate in related advisory boards, strategic planning committees, and program retreats, as requested. Perform project analyses and evaluate resources, outcomes, and obstacles to project completion.

  • Establish timelines and ensure prompt submission of necessary materials from co-investigators. Request necessary updates from co-investigators in a timely manner.

  • Coordinate the receipt of materials and prepare necessary reports,including annual and semi-annual reports.

  • Provide fiscal planning for grant initiatives.

  • Oversee the preparation of grant budgets by applying guidelines and procedures established by the department and by adhering to the granting agency's procedures and stipulations.

  • Oversight for the management of application preparation, submission, and related reporting for grant and donor funding

  • Train and mentor new/junior faculty in identifying appropriate funding opportunities and writing successful grant proposals.

  • Serve as an expert resource and advisor for faculty and staff in regard to all sponsored research application related issues. Provide ongoing information concerning changes in federal policy, institutional and divisional initiatives,etc., to relevant department staff and faculty.

  • Establish timelines and ensure prompt submission of necessary materials from co-investigators. Request, review, and edit necessary updates from co-investigators in a timely manner.

  • Perform critical review of submitted materials for research funding applications, progress reports, and other related communications. Copy-editor rewrite as necessary to ensure that the information collected is accurate,reflects the requested information, and is provided in accordance with specified guidelines and policies (institutional, federal, and industry).

  • Draft sections of grant and contract applications, reports, summaries, and related communications, as requested by the Chair.

  • Proof-read and copy edit submitted materials. Utilize technical writing ability to assist in writing grant applications and reports.

  • Coordinate and/or prepare all grant application materials, including but not limited to: Performance Sites, Budgets, Budget Justification, Biographical Sketches, Other Support, Resources, and all components of the Research Plan for all investigators. Ensure that application materials are accurate and consistent with department and institutional standards.

  • Coordinate and assist with the accurate preparation of all grant forms and appendices.

  • Act as liaison for Chair; Associate Director, Research Planning and Development; and Department Administrator with investigators, institutional officials, and granting agency officials to ensure effective communication and timely submission of grant materials. Serve as a primary contact for the Office of Sponsored Research/Office of Research Administration concerning policy changes and the resolution of grant submission issues.

  • Coordinate the distribution of application copies and other materials as needed in a timely manner.

  • Ensure that the information collected is accurate, reflects the requested information, and is provided in accordance with specified guidelines.

4. Assist with other grant program and department activities:

  • Assist as necessary with activities related to the department Chair's grant activities. This may include preparation of presentation materials (posters and PowerPoint slides),coordinating teleconferences, creation and maintenance of tracking databases, spreadsheets and manuscript preparation.

  • Conduct literature searches.

  • Special projects, as assigned.

5. Other duties as assigned.

The performance for all expected outcomes is measured by observation by supervisor, reports from faculty and co-workers, the accuracy and timeliness of work produced, and the demonstrated ability to effectively work under stress. The position also requires one to anticipate needs, to recognize situations requiring assistance and have the ability to refer or perform any necessary tasks, and to comprehend the goals of the department/program and take the initiative in making decisions and taking actions to further these goals.

  • Requires use of computer via keyboard, and operating facsimile machine, calculator, printer, photocopy machine, etc. Requires the use of push-button, multiple line telephone set. Must be able to master new software by utilizing available resources (other program personnel, reference manual, training classes, etc.)

  • Be clearly understood by verbal communication in face-to-face encounters and by telephone.

  • Strong command of the English language, including spelling, writing, and verbalizing and ability to communicate well verbally and in writing.

EDUCATION:

Required: Bachelor's degree.

EXPERIENCE:

Required: Two years of grant management experience such as grant writing, grant submission and financial administration and one year of lead or supervisory experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis. Successful completion of the LEADing Self Accelerate program may substitute for one year of required supervisory or management experience.

Preferred: Basic science lab/administrative experience. Research financial (budgets)experience.
