The primary purpose of the Conference Coordinator position is to…
Develop and maintain conference registration databases and reports for assigned conferences, coordinate the registration portion of the Siebel system, and coordinate conference financial information. Provide registration customer service assistance for customers with technical issues and resolving problems with the Siebel registration software system. Provide backup for computer projects and marketing projects on the Internet, Coordinate the creation and deployment of onsite and outcomes surveys using Scantron or the web application with Class Climate software for all CME activities (conferences and RSS).
JOB SPECIFIC COMPETENCIES
Registration System and Processes
1.Coordinates the registration and documentation for assigned conferences by processing registrations through the Siebel registration system, and creating and maintaining detailed conference database to specifications.
•Reviews and processes all mail, faxed and online incoming registrations for all workshops, seminars and conferences.
•Keeps conference coordinators, committee members, program chairs and their administrative assistants updated on participation numbers by tallying and categorizing status of conference participants by providing reports.
•Coordinates speaker data in the Siebel registration system. Must be proficient in using the Siebel registration system. Coordinates with the conference chair and conference planner.
•Provides customer service and technical assistance for registration including answering all main lines and registrar 800 line and provide the public and MD Anderson employees with comprehensive information.
•Produces badges and required materials.
•Provides on-site registration and cashier support at conferences.
•Act as liaison between CME department and IT staff for developing/implementing improvements and trouble shooting Siebel system errors.

2.Provides back-up to coordinate the design and development of the Conference and Events webpage on the Internet and Intranet by putting conference information on various websites on the Internet.
3.Other duties as assigned including but not limited to coordinating computer projects and inventory for the department, IDT processing, etc.
Required: High school diploma or equivalent.
Preferred: Bachelor's degree.
Required: Four years of experience at a professional level in project management, conference management or closely related field, involving planning and organizing resources, marketing , database management, reporting, budget management and financial reconciliation. With preferred degree, no experience required.
