The mission of The University of Texas M. D. The primary purpose of the Administrative Assistant position is to perform complex administrative and secretarial duties requiring judgment within general guidelines.

Salary Range: Min $33,600 - Mid $42,000 - Max $50,400

Key Functions

  1. Research Laboratory Administration:
  • Primary function is to provide administrative support to research laboratory staff and faculty and front office support.

  • Greet and address high level clientele and visitors.

  • Front office phone coverage.

  • Uses excellent judgment in determining when an activity requires the attention of the Department Administrator or Chairman and when it can be handled at the "local" level.

  • Responsible for leave requests for staff and laboratory personnel that work for assigned faculty.Enters leave requests in Web Schedule.

  1. Faculty Support:

· Maintains calendar for faculty; makes travel arrangements and prepares travel itineraries and expense reports.

· Facilitates the operation of office functions for assigned faculty, including the coordination of schedules and itineraries for visitors.

· Maintains the most current information pertaining to faculty CV, periodical publications, and biographical sketch.

· Gathers materials on assigned subjects for use in the preparation of scientific reports, speeches, or articles.

· Formats letters, reports, articles, memorandums, and speeches—usually of a medical or related scientific nature. Able to compose routine correspondence.

· Prepares slide presentations, requiring the use of MS PowerPoint software and processes appropriate paperwork to have slides manufactured.

· Researches library references; photocopies articles.

· Processes faculty extramural leave and PTO Program leave requests in Web Schedule.

  1. Department Support:
  • Administrative liaison between central department administrative office and the laboratory staff - this includes attending laboratory staff meetings as needed, sharing information provided by the department and institution and bringing issues back to the Department Administrator and Chair, as needed.

  • Coordinates purchasing activities for area of responsibility.

  • Acts as a liaison between lab personnel and department buyer.

  • Keeps lab personnel and others informed of new procurement procedures.

  • Processes paperwork for and maintains records of equipment relocation.

  • Responsible for notifying central department administrative office of own time away from office, to include detailed coverage information.

  • Coordinates MDACC compliance requirements with central department administrative office (i.e., Team Anderson, EEE, HIPAA, safety requirements).

  • Represents department in a professional and appropriate manner within institution, as well as externally.

  • Serve as backup to department buyer.

  1. Reports and Special Projects:
  • Compares company/center report expenses with expense documents received for purchases made or services performed.

  • Receives and files expense/supporting documents and company/center reports to insure that they are accessible when needed.

  • Other duties as assigned.

Education

Required: High school diploma or equivalent. Specialized training in secretarial skills (such as word processing and business).

Experience

Required: Four years secretarial experience including advanced secretarial duties. Must pass pre-employment skills a test as required and administered by Human Resources.

Preferred; Experience with travel, purchasing, reconciliation and calendaring.
